Information you give us
When you use the appointment request or contact form on this site, we collect your name, email address, phone number and the message you write, so that we can reply to you and arrange your appointment. Your clinical records are kept in our secure booking and charting system, not on this website.
Information collected automatically
Like most websites, we use analytics to understand how people use our site. We use Google Analytics and Cloudflare Web Analytics, which record information such as the pages you visit, the type of device and browser you use, and your approximate location, based on your IP address. We also use Google Ads conversion tracking, which lets us know when a visit to our site started from one of our online advertisements. These services use cookies. You can block cookies in your browser settings; the site will still work.
How we use analytics, including data from Google
To measure and improve how patients find the clinic, Best of Chinese Medicine uses an internal analytics tool that connects to the clinic’s own Google Ads, Google Analytics and Google Search Console accounts through Google’s APIs. This tool reads only the clinic’s own advertising and website performance data. It does not access any patient’s Google account, and no patient health information is sent to Google through it. Information from this tool is stored on servers controlled by the clinic and is used solely to understand our marketing performance. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who we share your information with
We do not sell your personal information. We share it only with the service providers that help us run the clinic and this website: Google (analytics and advertising measurement), Cloudflare (website security and analytics), our email service provider (to deliver our replies to you) and Jane, our appointment booking and health records system. Each of these providers handles your information only on our behalf and only for those purposes.
How long we keep your information and how we protect it
We keep form submissions for as long as we need them to respond to you and to keep a record of your enquiry. Health records are kept for the periods required by Ontario law and the standards of our regulatory colleges. Our systems are password protected, access is limited to staff who need it, and information is stored on systems controlled by the clinic.
Your rights
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where the law allows. To make a request, email [email protected]. We will respond within 30 days.
